Privacy Policy

HaulBid connects people who need junk hauled with licensed haulers in Austin. This policy explains what we collect, why, and who sees it. The short version: we collect what's needed to price your job and get a hauler to your door, we show haulers your photos but not your identity until you pick one, and we never sell your data or your phone number.
1. Who we are

This policy covers the HaulBid website at junkhaulbid.com and the HaulBid iPhone app. Both are clients of the same service and are governed by the same practices.
2. What we collect
From customers posting a job
- Photos and 3D scans of your items.When you use the camera or the guided scan, we receive the photographs you approve and, on supported iPhones, a 3D mesh and camera-position data describing the shape and size of the pile. We do not record video, and we do not receive frames you don't approve.
- What you tell us about the job. Item names and counts, access details (stairs, long carry, curbside), your pickup timing, and anything you type in the free-text description.
- Contact and location. Your name, mobile phone number, pickup address, and optionally your email address.
- Technical data. IP address, device and browser type, and product events (which steps you completed, when a bid arrived) used to operate and improve the service.
We do not ask for and do not want government identifiers, payment card numbers, health information, or any sensitive personal data. Please don't include them in photos or in the description box. We automatically redact patterns that look like phone numbers and email addresses from item labels before haulers see them, but that filter is a safety net, not a guarantee.
From haulers
- Business name, contact name, mobile phone number, email address, EIN, insurance carrier and policy number, and bonded status. During verification we may also ask you for your certificate of insurance and, where your work requires one, evidence of your City of Austin Private Waste Hauler License.
- Your bids, won jobs, completion records, and the reviews customers leave you.
- For haulers who buy a storefront subscription, billing details are handled by Stripe; we receive only the subscription status and the last four digits of the card.
3. How we use it
- To estimate your job. Your photos and scan data are analyzed — by our own measurement engine and by a third-party AI vision provider (Anthropic) — to identify items and estimate volume and weight. Anthropic processes this content on our behalf as a service provider and does not use it to train its models.
- To run the marketplace. Showing your job to approved haulers, delivering their bids to you, and connecting you with the hauler you choose.
- To message you about your job — see §5.
- To verify haulers, including checking licensing and insurance, and to suspend haulers whose credentials lapse.
- To improve the estimate. We compare our estimates against what haulers actually bid and what jobs actually cost. This uses job data, not your identity.
- To meet legal obligations and to investigate fraud, abuse, or safety issues.
4. Who sees your information
Haulers see your job before they see you.When you post a job for sealed bids, approved haulers see your photos, item list, access details, timing, and the general area of the pickup. They do not see your name, phone number, email, or exact street address until you accept one of their bids. Once you accept, the winning hauler receives your contact details and address so they can do the job; haulers who didn't win never receive them.
Your photos are visible to approved haulersfor the purpose of bidding. Don't photograph anything you wouldn't want a contractor to see — documents, screens, mail, or people.
Service providersprocess data on our behalf under contract, and only for the purposes we specify: Vercel (hosting), Supabase (database and file storage), Twilio (phone verification and SMS), Anthropic (AI vision analysis), Stripe (hauler subscription billing), and our transactional email provider. We may also share information when required by law, to protect someone's safety, or in connection with a merger or sale of the business.
5. Text messages
HaulBid uses SMS for two distinct purposes, and they are consented to separately.
Service messages (required to use HaulBid)
When you verify your phone number, you agree to receive text messages related to your job: your one-time verification code, a link to your job page, alerts when a hauler bids, and updates when a job is awarded, scheduled, or completed. These are transactional — you cannot opt out of them and still use the service, because they are how the service works. Message frequency depends on your job; a typical job generates fewer than ten messages.
Neighborhood deal alerts (optional)
Separately, you may check a box to be texted when a hauler is already scheduled near you and you could add junk at a discount. This box is unchecked by default, is never required to post a job, and sends a few messages a month at most. Declining it changes nothing else about your experience.
Message and data rates may apply. Reply STOP to any message to stop receiving texts from that category. Reply HELP for help, or email [[ support@example.com ]]. Carriers are not liable for delayed or undelivered messages.
We do not sell, rent, or share mobile opt-in information or consent with third parties, and mobile opt-in data is never shared for marketing purposes.
6. How long we keep it
- Job records (items, estimates, bids, outcomes) — kept while your account is active and for up to three years after a job completes, for dispute resolution, tax, and estimate-calibration purposes.
- Photos and 3D scans — kept for 12 months after the job completes, then deleted. Measurements derived from them (volume, dimensions) are retained in de-identified form to improve the estimate.
- Phone verification records — kept as long as needed to demonstrate consent, per carrier and TCPA requirements.
7. Security
Data is encrypted in transit (TLS) and at rest by our hosting and storage providers. Access to production data is limited to people who need it to operate the service. No system is perfectly secure; if we become aware of a breach affecting your information, we will notify you as required by Texas law.
8. Your rights
If you are a Texas resident, the Texas Data Privacy and Security Act gives you the right to confirm whether we process your personal data, access it, correct it, delete it, obtain a portable copy, and opt out of sale or targeted advertising (we do neither). Residents of other states may have similar rights.
To exercise any of these, email [[ support@example.com ]] from the address or phone number on your account. We respond within 45 days and may extend once by another 45 days where allowed, and we will tell you if we do. If we decline a request, you may appeal by replying to our decision; if we deny the appeal you may complain to the Texas Attorney General.
To delete your data, email us from the address or phone number on your account and we will delete your job history and photos on the schedule in §6, except records we are required to keep by law.
9. Children
HaulBid is not directed to children and is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, email us and we will delete it.
10. Changes
If we change this policy materially, we will update the effective date above and, where the change affects how we message you or who sees your data, notify you directly. Continuing to use HaulBid after a change means you accept the updated policy.
